Privacy Policy

After-School All-Stars (“ASAS”) is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights. It covers two groups: families and students who register for our programs, and donors and supporters. If you have questions, email us at info@afterschoolallstars.org. 

Information We Collect from Donors 

When you donate or register for an event, we collect your name, contact information, and payment details. We use this to process your gift, send acknowledgments, and communicate about our programs. We will never send you mail on behalf of other organizations, and you can opt out of fundraising communications at any time. 

Information We Collect from Families and Students 

Information You Provide Directly 

When you register a student for an ASAS program, we collect information directly from you, including: 

  • Student name and date of birth 
  • Parent/guardian name, address, phone, and email 
  • Emergency contact names and phone numbers 
  • Medical information relevant to your student’s safety (allergies, medications, health conditions) 
  • School name and grade level 
  • Photo and media release consent 

Information Accessed Through School and Partner Systems 

In most programs, ASAS works only with the information families provide directly at registration. In some cases, ASAS staff may request student information through the school district for evaluation purposes (for example, to measure changes in outcomes and impact). In these cases, ASAS views the data on ASAS-managed devices only and does not collect, copy, or store that information in its own systems. Access is limited to authorized staff who have signed confidentiality agreements and completed privacy training and is revoked immediately when an employee leaves ASAS. 

FERPA and Student Education Records 

After-School All-Stars complies with the Family Educational Rights and Privacy Act (FERPA), the federal law that protects the privacy of student education records. Under FERPA, parents and guardians have the right to: 

  • Review their student’s education records maintained by ASAS, if applicable  
  • Request correction of records they believe are inaccurate or misleading 
  • Provide written consent before ASAS discloses personally identifiable information from their student’s records, except in limited circumstances permitted by law

ASAS staff access student information only as needed to perform their job duties and are required to keep all student data confidential. Student records are not shared, left unsecured, or transmitted through personal or non-ASAS channels. Information Collected Automatically on Our Website 

When you visit our website, we automatically collect basic technical information — such as your IP address, browser type, and pages visited — to keep the site secure and understand how it’s used. We may use cookies to improve your experience. You can manage your cookie preferences at any time using the cookie settings tool on our website, or by setting your browser to refuse cookies; however, some features may not work as a result. We do not use tracking for advertising purposes. 

How We Share Your Information 

We do not sell, rent, or trade your personal information. We share it only in these circumstances: 

  • With staff and volunteers who need it to serve your student or process your donation 
  • With service providers (such as payment processors or email platforms) under signed contracts requiring them to protect your data 
  • With school partners as needed to coordinate program services 
  • With funders or partners — as aggregated, de-identified data only, never including names or personal details 
  • When required by law, court order, or to protect someone’s safety 
  • With your consent, for any other purpose 

How We Protect Your Information 

We protect your information using a combination of administrative, operational, and technical safeguards, including: 

  • Encryption of sensitive data at rest and in transit 
  • Multi-factor authentication and strong password requirements for all systems that store personal data 
  • Access controls that limit who can view your information to those with a legitimate professional need 
  • Confidentiality agreements required of all staff before accessing protected data 
  • Personnel screening (background checks) for staff who access student records 
  • Regular security patching, system updates, and cybersecurity monitoring 
  • Staff training on data privacy, password protection, and applicable regulations 
  • Immediate revocation of system access when an employee leaves ASAS 

In the event of a data breach or unauthorized disclosure, we will notify affected individuals and relevant authorities as required by law.

How Long We Keep Your Information 

We keep your information only as long as needed to deliver our programs and services, or as required by law. Student and family records, donor records, and financial data are retained in accordance with our record retention policies and applicable legal requirements. When we no longer need your information, we securely destroy it. 

Your Rights

California Residents 

California residents may request a list of any personal information we shared with third parties for direct marketing in the prior calendar year (California Civil Code §1798.83). Residents under 18 may request removal of publicly posted information. To make either request, email info@afterschoolallstars.org and a note that you are a California resident.  

Updates to This Policy 

We may update this policy from time to time. When we do, we will revise the “Last Updated” date at the top. We encourage you to check back periodically.
